Application Instructions
1. Confirm Eligibility
Before beginning your application:
- Ensure your system is eligible for qualification.
- Confirm it meets the EVCAN Technical Specification.
- Reach out to EVCAN with any questions about the requirements.
2. Create or Log Into Your Account
- If you have not already done so, create an account with EVCAN.
- If you are the first person from your organization to create an account, you will be the “Super Admin” for the company account and will need to approve any other accounts needed by your company.
- Before your account can be created, you will need to verify your email.
- Once logged in, you can access your account dashboard, and can access the Application Portal by clicking the blue button in the upper left of the dashboard.
- You may also enter the Application Portal by clicking on the green “Application Portal” button in the Quick Links on the left.
Note: The portal is intended for manufacturers or CSMS providers and its authorized users only.Â
3. Identify an Internal Technical Expert
EVCAN recommends that the application be completed by someone with strong technical expertise of the CSMS, such as a product manager or engineer. To help streamline the review process, it is beneficial for this individual to be available to respond to any technical questions from EVCAN during the review.
4. Prepare Your Materials
Gather all documentation that supports the functionality of your system. The application portal provides a series of questions about system capabilities and functionality, and requires documentation for each.Â
5. Start Your Application
- Click “Start a New Application” in the portal
- Name the application for your internal reference
- Create and begin entering information into your application
6. Complete the Online Questionnaire
- Answer all required questions about your system in the questionnaire
- Ensure that every response includes supporting documentation
- Answers are auto-saved; you may exit and return any time
A common delay occurs when claimed features lack adequate documentation. Please ensure that every answer is well-supported.
- For “Required” capabilities, the reference materials must be:
- Publicly available online, and/or
- Included in the product packaging, and/or
- Provided to customers upon request
Whenever possible, provide public-facing documents, such as those posted on a product website or shared with potential customers. In some cases, screenshots or short video clips demonstrating app or software functionality may be appropriate.
Note: A reference may not be a document produced for the sole purpose of obtaining EVCAN qualification without further use for customers.
7. Sign the Terms of Use & Submit Application
- After clicking “Submit,” you will be presented with the Terms of Use agreement, which includes:
- Logo Guidelines Compliance Statement
- Safety Certification Compliance Statement
- Click the box and sign the agreement to submit your application
Note: If you are not authorized to sign the agreement, a company representative with signing authority must:
- Create their own account under your organization
- Digitally sign the agreement once the application is complete
8. After Submission: Review Process
EVCAN will communicate your application’s status via the application portal. Applicants will also receive an email when a reviewer sends a message. Messages must be replied to within the portal.
Initial Review
- A reviewer will be assigned to your application and will verify that:
- All “Required” capabilities are present
- All necessary documentation has been submitted
Invoicing
- When the EVCAN reviewer has completed the initial review for the submitted system, an invoice for the Application Fee will be sent to the submitter.
- The application fee for a CSMS product is $5000 annually.
- Once this invoice has been paid, the Comprehensive Review can begin
- EVCAN reviewer evaluates the “Reported” capability claims
- May include a presentation of system functionality and capabilities
- Includes reviewing a case study or conducting a customer interview (see below)
When the application is approved, you will receive a notification and the system will be published on the QPL.
9. Incomplete or Non-Compliant Applications
If your application:
- Is missing information
- Includes insufficient documentation, or
- Demonstrates non-compliance with the Technical Specification,
EVCAN will notify you of the specific issues in the application and allow you to revise and resubmit.
Note: If your system is found not to meet the Technical Specification, the application may not be resubmitted in the same application. A new application with updated materials will be required.
10. Review Timeline & Publication
Typical application review time is 3-4 weeks, depending on:
- Queue volume
- Completeness of the application
- Timeliness of your responses
Once the application is approved, you will receive an email confirming that the review is complete. The system will appear on the QPL within 24 hours.
